May include: Billing contact, Billing address, Invoice information, Payment status, Transaction history, Tax information, Bank or payment information where necessary. DECA MEDIA does not store complete payment-card information unless a secure payment provider expressly handles it.

May include: IP address, Browser type, Device type, Operating system, Referring page, Pages viewed, Approximate location, Cookie identifiers, Security logs, Error logs, Website usage information, Analytics data (if analytics tools are enabled).

Communications and submissions

Information submitted through contact forms, email, social-media messages, applications, project inquiries, job inquiries, client portals, feedback forms.

4. Information we do not intentionally request

Please do not submit unnecessary sensitive personal information through a general contact form. Do not submit:

  • Passwords.
  • Government identification numbers.
  • Medical information.
  • Financial-account credentials.
  • Security-clearance information.
  • Classified information.
  • Confidential information belonging to another person or organization.

If sensitive information is necessary for a particular service, DECA MEDIA will determine the appropriate secure method for receiving it.

Client information is handled according to the applicable contract, statement of work, confidentiality agreement and this Policy. DECA MEDIA does not acquire ownership of client materials merely because they are submitted to DECA MEDIA unless a written agreement provides otherwise.

8. Publicity and portfolio use

DECA MEDIA will not publicly display a client name, logo, campaign, project, testimonial or work product as part of a portfolio, case study or promotional material unless permitted by written agreement, authorized in writing, or already publicly available.

9. Information sharing

We may share limited information with hosting providers, email services, cloud storage, payment processors, legal advisers, security providers and approved contractors. Service providers access only information reasonably necessary for approved services under confidentiality obligations. DECA MEDIA does not sell personal information.

10. International transfers

Information may be processed in the United States or other jurisdictions where DECA MEDIA or its service providers operate, using legally recognized safeguards.

11. Data retention

We retain information only for as long as reasonably necessary:

  • General inquiries: 1 year from the date of inquiry.
  • Prospective-client records: 3 years from last contact.
  • Client project records: 7 years from final payment or duration + 5 years.
  • Contractor and vendor records: 7 years from final payment.
  • Accounting and tax records: 10 years from the end of the tax period.
  • Marketing records: 5 years after campaign is discontinued.
  • Security logs: 1 year minimum for production systems; 90 days for non-critical systems.
  • Legal records: 3 years after final disposition for litigation files.

DECA MEDIA uses administrative, physical and technical safeguards appropriate to the information and systems it operates (access controls, MFA, encryption, backups, confidentiality agreements).
